Privacy Policy for MMD Monitors & Displays Employer Branding and Recruitment

We at MMD Monitors & Displays manage our employer branding and recruitment process through our career site (the “Career Site”), and by using a related applicant tracking system.
In this privacy policy, we explain how we process your personal data if:
- You visit our Career Site (you being a “Visitor”)
- You connect with us via our Career Site, to create a profile with us and receive information about current or future vacancies with us (you being a “Connecting Candidate”)
- You apply for a position with us, via our Career Site or a third-party service (you being an “Applying Candidate”)
- We collect information about you from other parties, sites and services, since we believe your profile is of interest for our current or future vacancies (you being a “Sourced Candidate”)
- We receive information about you from our employees or partners, since they believe your profile is of interest for our current or future vacancies (you being a “Referred Candidate”)
- We receive information about you from a Candidate, who lists you as their reference (you being a “Reference”).
This privacy policy also describes what rights you have when we process your personal data, and how you can exercise these rights.
When we use the term “Candidate” in this privacy policy, we are referring to each of Connecting Candidates; Applying Candidates; Sourced Candidates; and Referred Candidates, unless it’s stated otherwise.
1. About processing of personal data
Personal data is all information that can be directly or indirectly linked to a living, physical person. Examples of personal data are: name, e-mail address, telephone number and IP address. Processing of personal data is any automated use of personal data — such as collecting, creating, analyzing, sharing, and deleting personal data.
There are laws and regulations on how companies may process personal data, called data protection laws. One example relevant to our use of your personal data is the EU General Data Protection Regulation (2016/679, “GDPR”).
Most obligations under the GDPR apply to the so-called data controller — the entity that decides for which purposes personal data will be processed, and how the processing will be executed. A data processor is an entity that processes personal data on behalf of the controller and may not use it for its own purposes.
MMD Monitors & Displays is the data controller when we process your personal data as described in this privacy policy.
2. What personal data do we process?
All individuals
- Device information – IP address, browser type and version, session behavior, traffic source, screen resolution, preferred language, geographic location, operating system, and device settings/usage.
- Technical and statistical data – URLs visited, activity on the site, and performance analytics.
- Communications data – Emails, messages, video recordings, social media interactions, surveys, or account information.
- Contact details – Name, email address, telephone number, and physical address.
Candidates
- Data from interviews, assessments, and recruitment processes – Interview notes, assessment results, salary expectations.
- Information in your application – CV, cover letter, work samples, references, letters of recommendation, education.
- Information in your public profile – Details from professional sites (e.g. LinkedIn, current employer website).
- Information provided by references – Feedback from employees, partners, or listed referees.
For Sourced and Referred Candidates, we will only store and process your personal data once you have explicitly provided consent in response to our request.
3. Where do we receive your personal data from?
All individuals
- From the Career Site – Technical and statistical data about your visit.
- Directly from you – Information provided when applying or connecting with us.
References
- From the Candidate – The Candidate may list your contact details for reference purposes.
Candidates
- From public sources – e.g. LinkedIn, company websites.
- From our employees or partners – Referral or sourcing recommendations (processed only after your consent).
- From your references – Information provided about you.
- Data we create – Interview notes, assessments, and communication records.
4. For what purposes do we process your personal data?
We process your personal data for the following purposes:
- Protect and enforce our rights, interests, and the interests of others (e.g. in connection with legal claims).
- Share your personal data with other recipients for legitimate purposes (see Section 5).
- Collect information about your use of the Career Site (via cookies and analytics tools).
- Maintain and ensure security of the Career Site.
- Analyze and improve Career Site performance.
- Provide you with updates about vacancies.
- Review profiles and applications and communicate with you regarding your application.
- Collect and evaluate professional profiles for potential recruitment.
- Contact you about future vacancies.
- Record interview(s) (only with your consent).
- Invite you to participate in surveys.
- Contact references to evaluate candidate information.
5. Whom do we share your personal data with?
- Service providers – Recruitment service providers, hosting providers, and the supplier of our Career Site and applicant tracking system.
- Group companies – Other TPV Group companies that provide services for our recruitment processes.
- Cookie providers – Third parties setting cookies on the Career Site (as per our Cookie Policy).
- Authorities – When required by law.
- Parties in legal proceedings – If necessary to protect or defend our rights.
- In case of mergers or acquisitions – With parties involved in such transactions.
6. On what legal bases do we process your personal data?
We process your data primarily based on our legitimate interest in recruiting talent and managing our recruitment process efficiently.
In specific cases (such as interview recordings or maintaining talent pools), processing occurs only after your explicit consent.
You can contact us for more information about our legitimate interest assessment (see Section 9 and 10).
7. When do we transfer your personal data outside of the EU/EEA, and how do we protect it?
We strive to process your personal data within the EU/EEA.
However, some of our service providers or their parent companies are located outside this region.
When transfers occur, we ensure GDPR-compliant safeguards are in place, such as:
- Adequacy decisions by the European Commission (e.g. EU-US Data Privacy Framework).
- EU Standard Contractual Clauses (SCCs) with the data recipient.
We also implement technical and organizational measures to protect data from unauthorized disclosure.
8. For how long do we keep your personal data?
All individuals
- Kept as long as needed to protect or enforce legal rights.
Visitors
- Retained for 1 year for security purposes.
- Cookie retention follows the Cookie Policy.
Candidates
- Connecting Candidates: Retained while your connection with us remains active.
- Applying Candidates: Retained for 1 year from the date you applied and accepted this Privacy Policy.
- Sourced or Referred Candidates: Retained for 1 year from the date you gave consent.
- After this period, we will email you to ask if you wish to remain in our talent pool.
- If yes → retained for another 1 year.
- If no → your personal data will be deleted.
- Hired Candidates: Data is retained during employment for relevant HR purposes (communicated separately).
References
- Retained as long as the related Candidate’s data is kept.
9. What rights do you have, and how can you exercise them?
You can exercise your rights by:
- Visiting the Data & Privacy page on our Career Site;
- Logging in to your account and adjusting your settings; or
- Contacting us directly at careers@tpv-tech.com.
Your rights include:
- Right to be informed – About how we process your data (this policy fulfills that).
- Right to access – Receive a copy of your personal data.
- Right to data portability – Receive your data in a structured format or transfer it to another recipient.
- Right to deletion (“right to be forgotten”) – Request deletion under certain circumstances.
- Right to object – Oppose processing based on legitimate interest.
- Right to restrict processing – Temporarily limit processing under certain conditions.
- Right to rectification – Correct inaccurate or incomplete data.
- Right to withdraw consent – Withdraw consent at any time (without affecting prior lawful processing).
- Right to complain – File a complaint with the Dutch Data Protection Authority or your local authority (see EU list here).
